Separate the payments
List rent, the deposit, prepaid charges and final bills separately. Give the calculation date, payments already made and the basis for each amount. Do not treat the deposit as the final rent payment without an agreement or other valid basis.
Separate obligations from concessions
Record any amount the landlord agrees to waive and its conditions, such as handover by a particular date. Keep an early-exit charge, actual damage and utility arrears as separate items rather than an unexplained combined penalty. Label disputed amounts and how they will be checked.
Agree the payment sequence
Write the accepted balance, payer, recipient and date. If final utility bills are pending, agree how they will be reconciled and how the remaining deposit will be handled instead of leaving all money held without a clear arrangement. Update the record after handover. Settlement wording should reflect what both parties understand and have actually agreed; do not casually add a broad waiver of unresolved rights.
