Check each room and test the equipment
Count furniture, appliances, keys and access cards. Try the air conditioning, hot water, washing machine, windows and locks, and check water pressure and drainage. If an air conditioner starts but does not cool, record the fault rather than simply marking it present. Stop using affected equipment and notify the landlord if there are electrical concerns, a burning smell or a serious leak.
Make the photographs easy to identify
Photograph the whole room before close-ups, label the location of marks or damage, and record electricity and water readings on move-in day. Keep the original files. Send the inventory and photographs for confirmation. List disagreements separately so that both parties know which points remain unresolved.
Agree how faults will be repaired
Record each outstanding fault, who will arrange the repair and the expected date. Agree access with the tenant before a contractor attends. Both parties should retain the inventory, condition photographs, readings and repair notes. Use that same record at move-out rather than relying on memory.
