Give a findable location
Identify the building, floor, area and nearby landmark, adding a photograph if useful. “Light beside the east stair, first floor of Building 2, keeps flickering” is more actionable than “lights broken”. State when it happens and whether it is continuous. Do not approach dangerous equipment or enter restricted areas to obtain evidence.
Explain the effect and urgency
An equipment function that is unavailable may suit the normal reporting channel. An immediate safety hazard needs the project's urgent contact and, where appropriate, emergency services. Stay clear and do not dismantle shared equipment. Accurate urgency helps management distinguish routine work from immediate danger.
Confirm receipt and the next update
Keep a ticket number, acknowledgement or other traceable record. Ask whether inspection, parts or repair attendance is pending. Where completion takes time, agree the next update rather than asking reception to guarantee an immediate fix. If management refers the matter to developer warranty or unfinished handover, clarify who takes over and how you will hear back.
Check the original problem afterwards
Following a completion notice, check normal operation where safe and permitted. If the fault remains, update the existing record rather than creating disconnected reports. Repeated or widespread issues may warrant a maintenance question through the formal owner channel. Your record supports coordination; it does not replace technical inspection or required approvals.
