Define the work
Explain the fault, affected equipment and proposed contractor. Permission to inspect, permission to repair and permission to replace an appliance are different. Approval for a call-out does not automatically cover buying a new unit.
Agree the money
Confirm the spending cap, whether a higher quote needs further approval, who pays initially and which records are required. A short written agreement can state the authorised job, maximum amount and reimbursement method. If responsibility remains disputed, explain how any temporary payment will be treated. Paying upfront does not establish that the landlord has accepted liability.
Return the records
Keep the quotation, work description, receipt and relevant photographs, then report whether normal use has been restored. Do not deduct the expense from rent without a clear agreement and an appropriate lawful basis. For an immediate safety concern, contact suitable professional help and notify the landlord promptly.
